Where necessary for a booking, we may also receive relevant information about passengers, production personnel, drivers or other individuals from the organisation arranging the service.

We ask clients not to provide personal information that is unnecessary for us to provide the requested service.

3. How We Use Your Information

We may use personal information to:

  • respond to enquiries and provide quotations;

  • arrange and administer bookings;

  • provide vehicle hire and production support services;

  • communicate about bookings, schedules and operational requirements;

  • verify drivers and administer vehicle hire agreements;

  • manage insurance, incidents, claims, penalties or damage;

  • comply with legal, regulatory and insurance requirements;

  • prevent fraud and protect our vehicles, business and customers;

  • manage our business records and customer relationships; and

  • improve our website and services.

We will only use personal information where we have a lawful basis to do so. Depending on the circumstances, this may include performing a contract, taking steps before entering into a contract, complying with a legal obligation, pursuing our legitimate business interests or obtaining consent where consent is required.

4. Payments and Card Information

Card payments are processed by third-party payment providers, including Stripe.

Leebra does not receive or store your full payment card number.

Where you agree to save a payment method for future use, payment details may be securely stored by our payment provider. Leebra may subsequently instruct the payment provider to process charges where authorised under our Booking & Payment Terms or another agreement with you.

We may also use third-party services to administer card pre-authorisations or security deposits in connection with vehicle hire.

These payment providers process information in accordance with their own privacy and security requirements.

5. Vehicle Hire and Driver Information

Where a vehicle is supplied for self-drive hire, we may need to collect and retain information about the person or persons authorised to drive it.

This can include driving licence information, identification documents, contact details and information required by our insurers.

We may share relevant information with our insurers, insurance brokers or other parties where reasonably necessary to verify insurance cover, administer a claim, investigate an incident or comply with legal requirements.

6. Parking, Traffic and Other Charges

Where a vehicle incurs a parking charge, penalty, traffic-related charge or similar liability during a period of hire, we may use or disclose relevant hirer or driver information where reasonably necessary to identify the responsible person, transfer liability, respond to the issuing authority or recover amounts due under the hire agreement.

7. Who We Share Information With

We do not sell personal information.

Where necessary, information may be shared with organisations that help us operate our business or provide our services, including:

  • payment processors;

  • security-deposit and payment-authorisation providers;

  • insurers and insurance brokers;

  • accountants and professional advisers;

  • website, email and IT service providers;

  • booking, scheduling and business administration providers;

  • subcontractors or service providers involved in fulfilling a booking;

  • government, regulatory, law-enforcement or local authorities where required; and

  • parking, traffic or enforcement authorities where necessary in connection with a vehicle or booking.

We only share information where reasonably necessary for the relevant purpose.

8. How Long We Keep Information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet our legal, accounting, insurance and contractual obligations.

Different types of records may therefore be retained for different periods.

For example, financial and transaction records may need to be retained for several years to meet accounting and tax requirements, while identification or driver information may be retained for an appropriate period relating to a hire, insurance requirement, incident or potential claim.

When information is no longer required, we will delete it or securely dispose of it where reasonably practicable.

9. International Data Transfers

Some of the technology and service providers we use may process or store information outside the United Kingdom.

Where personal information is transferred internationally, appropriate safeguards will be used where required by applicable data protection law.

We may also use analytics or other technologies to understand how visitors use our website.

Where required by law, non-essential cookies will only be used with your consent. You can manage applicable cookie preferences through the options provided on our website.

11. Marketing

We may occasionally contact existing business customers about relevant Leebra services where permitted by law.

You can ask us to stop sending marketing communications at any time.

Operational communications concerning an enquiry, quotation, booking, payment, vehicle hire or existing business relationship are not marketing communications.

You also have the right to raise a concern with the Information Commissioner's Office (ICO), the UK's data protection regulator.

13. Security

We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

Where third-party providers process information on our behalf, we select services appropriate to the nature of the information being processed.

14. Other Websites and Services

Our website or communications may contain links to third-party websites or services. Those organisations are responsible for their own privacy practices, and we recommend reviewing their privacy information where appropriate.
